Does a Remote PM Accountant Need to Know My Specific Software?
Yes, or at very least, they need to be proficient in one of the major PM platforms and able to learn yours quickly.
Property management accounting doesn’t happen in QuickBooks. It happens inside AppFolio, Buildium, Rent Manager, Yardi, Propertyware, or RentManager, and each platform handles trust accounting, work order coding, owner statements, and bank reconciliation differently. Vendor-specific certifications exist for platforms like Yardi and RealPage, and proficiency can be validated during the hiring process.
The practical skills you should verify:
Transaction posting and coding.
Can they post rent payments, code expenses to the correct property and GL account, and process vendor invoices inside the PM platform — not in a separate system?
Bank reconciliation within the platform.
PM software connects bank feeds directly to the property ledger. The accountant needs to reconcile inside this system, matching transactions against property-specific records, not exporting to Excel and reconciling manually.
Owner statement generation.
In a properly configured PM platform, owner statements should generate from reconciled data, not be assembled manually. Your accountant needs to know how to produce these reports, review them for accuracy, and distribute them on schedule.
Report generation.
Per-property P&L, portfolio-level summary, trust account reconciliation report, aging receivables, vendor payment history, these are standard reports the accountant should be able to pull and interpret without building them from scratch.
If a candidate has experience in AppFolio but your operation runs Buildium, the transition is manageable, the concepts and workflows are similar. If a candidate’s only experience is QuickBooks and Excel, they’ll need extensive training before they’re productive in a PM environment.
